The data we enter in the Japanese set can be reported by the English set or do we have to re-enter the data?
Data entered in the Japanese set is read by the English set as well.
Data is entered only once and it can be done through either set.

Can we print English reports from the Japanese set?
Yes, to print English reports from the Japanese set select the English Reports menu option and click on the report you want to print.

Can we print Japanese reports from the English set?
Yes, to print Japanese reports from the English set select the Japanese Reports menu option and click on the report you want to print.

Can we have bank accounts in 5 different currencies?
Yes, there is no limit to how many currencies the system can use.

Our company has monthly payments for fixed amounts that must be made every month. Do we have to enter the journal transaction every time?
No, you enter the journal transaction only once. Each time you need to create the ledger entry just click on the menu option Create Recurring Journal Entry and enter the date. 

Our company has 3 branches. Can we print consolidated financial statements including all the branches?
Yes, the General Ledger module can create Consolidated Financial Statements of all your branches.

How many branches can we consolidate?
HappyAccounts handles a maximum of 99 companies. 

Our company needs to compare the financial statements with the budget. We also need to compare this year's financial statements with the last 2 years. Is this possible?
Yes, the Balance Sheet and the Income Statement can be compared with the budget and with the data of the last 2 years. These comparative reports are printed on the same page.

Our company has bank accounts in Yen and US$. Can we reconcile the bank statements in US$?
Yes, you can reconcile the bank statements for the bank accounts in US$ with the balances that are kept in US$.

What is the maximum length for a bank account number?
The maximum length for a bank account number is 16 alphanumeric characters.

Our company exports to different countries, can we quote and invoice our products in the main international currencies?
Yes, each customer can be linked to a currency. When preparing a quote or a sales order or an invoice, the document will be in the customer's currency. 

Can we have prices in different currencies for our products?
Yes, each product can be linked to prices in different currencies.
For example, a printed circuit board can have its price in Yens, US$, British Pounds, Euros etc.

Can we sell inventory products that have serial numbers?
Yes, HappyAccounts handles inventory products with serial numbers. The serial number maximum length is 40 alphanumeric characters..

If we prepare a quote, can we automatically create a sales order or an invoice?
Yes, quotes can automatically create sales orders or invoices. There is no need to type again all this information. 

Our company also sells services, can we create invoices for services?
Yes, and you can type as much details as you need to describe the service.

When we export we don't charge consumption tax but when we sell in Japan we must charge the consumption tax. Is this possible?
Yes, each customer is linked to a tax rate and the tax rate may be zero (0). Customers in Japan would be linked to the consumption tax rate of 5% and overseas customer would be linked to a tax rate of zero.

What happens if the consumption tax rate is lowered, can we change it?
Yes, the tax rate can be changed by the end user.

Our company uses different payment terms for its customers. Some customers must pay by the end of the next month other customers pay in 90 or 120 days. Can we do this?
Yes, the payment terms are defined by the end user. Each customer is linked to a payment term. 
The payment terms can be at a fix date for example at the end of the next month, or can be calculated in number of days after the invoice is issued for example in 30, 60, 90 etc days.

Sometimes we need to change the payment terms of a customer for a special invoice. Can we do this?
Yes, the payment terms can be changed for an invoice without changing the payment terms linked to the customer.

Can we have invoices paid with Promissory Notes?
Yes, invoices can be linked to Promissory Notes.

Can we have different combinations of number of Promissory Notes and payment dates for a customer? 
Yes, for each customer payment using Promissory Notes is defined by invoice.
For example, to customer "ABC Corporation" we issue Invoice No. 1250 to be paid with four Promissory Notes having the first payment date in 60 days and Invoice No. 1260 to be paid with six Promissory Notes having the first payment date in 45 days. 

Can we have a detailed follow-up of the Promissory Notes? 
Yes, the Promissory Notes have a variety of reports that allow a detailed follow-up.

Can we combine cash payment and Promissory Notes for one invoice?
Yes, one invoice can have payments in cash and Promissory Notes. The cash payments can be made at any time.

We have customers with several small amount invoices that we want to consolidate into one Promissory Note. Can we do this?
Yes, many invoices can be pooled into one Promissory Note.

Our company usually discounts the Promissory Notes and we have to pay the bank's commission. Can you handle automatically the bank commission?
Yes, when a Promissory Notes is discounted or sent for collection HappyAccounts automatically creates the journal entry for the bank commission when the payment data is entered.

When we export we can face an exchange rate gain or loss in our collections. Can the software track which collected receivables had gains and which collected receivables had losses?
Yes, in the Accounts Receivable module the Collected Receivables Adjustment menu option tracks the exchange rate gains or losses for each invoice in each foreign currency and automatically creates the journal entries and adjusts the customers' balance in "home currency" (Yen).

 At the end of the accounting period we need to adjust our foreign currency balances to recognize any gains or losses that have accumulated on foreign receivables. Can this be done automatically?
Yes, the Accounts Receivable module has a menu option to calculate balance sheet date adjustments and create the adjusting entries.

When we export we need to give to our customer a copy of the Invoice in English. Can we do this?
Yes, all business documents (quotes, sales orders, invoices, packing slips, picking slips) can be reprinted at any time in English. Also as all business documents may be printed or reprinted to file, you can attach any of these documents to you e-mails.

Our company establishes credit limits for each customer. Does the software control this?
Yes, each customer may have a credit limit assigned. When an invoice is issued, first HappyAccounts will check that the customer's balance is less than or equal to the assigned credit limit. If the customer's balance is greater than the credit limit the screen will display a warning saying that the customer has reached the credit limit and will prompt if you want to continue.
After the invoice is entered HappyAccounts will check again if the customer's balance plus the invoice is less than or equal to the assigned credit limit. If the customer's new balance will be greater than the credit limit the screen will display a warning saying that the customer has reached the credit limit and will prompt if you want to continue.

We import materials and also face the exchange rate gain or loss in our paid payables. Can the software track which paid payables had gains and which paid payables had losses?
Yes, in the Accounts Payable module the Paid Payables Adjustment menu option tracks the exchange rate gains or losses for each vendors' invoice in each foreign currency and automatically creates the journal entries and adjusts the vendors' balance in "home currency" (Yen).

 At the end of the accounting period we need to adjust our foreign currency balances to recognize any gains or losses that have accumulated on foreign payables. Can this be done automatically?
Yes, the Accounts Payable module has a menu option to calculate balance sheet date adjustments and create the adjusting entries.

 As part of our company's cash-flow management we need to know the cash requirements to pay all payables that are due on a given date. Can the software do this?
Yes, the cash requirements report of the Accounts Payable module includes all the payables that are due on a given data range including subtotals for each vendor listed.

Our company's management wants to control stock levels, so we are looking for a system that can automatically update the inventory. Can the software do this?
Yes, HappyAccounts automatically updates stock quantities for each product when orders are shipped or merchandise is received. The inventory file reports on hand, committed, available and on order quantities. 

Our company imports materials and we have to place our purchase orders in foreign currencies. We have several vendors in different countries for the same material. Can we have prices in each of the vendors' currencies?
Yes. Each vendor is linked to a currency and each inventory or supply product may be linked to many vendors. HappyAccounts stores the purchase price in the currency of each vendor.
Purchase Orders are issued to vendors in their currencies. When the merchandise is received HappyAccounts creates the payable at the exchange rate entered at the time of reception.

Our company has established minimum stock quantities and reorder quantities. Can we control these quantities and automatically create purchase orders?
Yes. The Purchase Orders & Inventory Control module can automatically create purchase orders for products that are at the reorder level. When the available quantity plus the on order quantity drop below the reorder level, the automatic purchase order feature will issue a P.O. for the required reorder quantity. 

Is there a reorder advisory report?
Yes. All products that are linked to vendors and have reached the reorder level will be listed. This report can be printed at any time.

  Some vendors can fulfill a purchase order faster than others. Can we follow-up this information?
Yes, HappyAccounts stores the lead time for each vendor.

We have inventory items that use serial number. Do you support serial numbers?
Yes, HappyAccounts handles inventory products with serial numbers. The serial number maximum length is 40 alphanumeric characters..

Our company has multiple warehouses. Can we control inventory items in each warehouse?
Yes, HappyAccounts handles multiple warehouses and there is no limit to the number of warehouses. All inventory reports give details by warehouse.

Sometimes we need to move inventory items from one warehouse to another warehouse. Can the software do this?
Yes, with HappyAccounts you can move inventory items between warehouses.
